Excellon Dealer Management System is a cloud-based dealership operations and distribution management software platform designed to help automotive manufacturers, original equipment manufacturers, dealer groups, distributors, and service networks manage sales, customer relationships, inventory, spare parts, workshop operations, warranties, finance, and after-sales services from a centralized system.

Automotive dealerships often operate through multiple departments, including vehicle sales, customer relationship management, service workshops, spare parts, procurement, finance, warranty processing, and administration. When these departments use disconnected systems, spreadsheets, and manual processes, organizations may experience duplicate data, delayed approvals, inaccurate stock information, poor customer visibility, and inconsistent dealership operations.

Excellon Dealer Management System addresses these challenges by connecting front-office and back-office dealership processes through one unified platform. It helps dealerships manage the complete vehicle lifecycle, beginning with lead generation and customer enquiries and continuing through quotation, booking, vehicle delivery, service, spare parts management, warranty claims, and customer retention.

The platform is designed for automotive OEMs, vehicle dealerships, multi-brand dealer groups, electric vehicle manufacturers, agricultural equipment companies, construction equipment businesses, commercial vehicle organizations, and other companies operating through dealer and distribution networks. Excellon states that its platform has supported millions of vehicle transactions and is used across large sales and service networks.

As automotive businesses continue to invest in digital transformation, Excellon Dealer Management System provides a scalable platform for organizations seeking to automate dealership operations, improve network visibility, strengthen customer engagement, and make faster data-driven decisions.

Excellon Dealer Management System Use Cases

Managing the Complete Vehicle Sales Cycle

A customer submits an online enquiry for a vehicle. Excellon creates a lead record and assigns it to a dealership sales representative.

The sales employee records follow-up activities, schedules a test drive, creates a quotation, applies approved discounts, and converts the enquiry into a booking.

The dealership allocates an available vehicle, processes finance and insurance requirements, completes registration, schedules delivery, and records the final handover.

All activities remain connected within the customer and vehicle records.

Multi-Location Vehicle Inventory Management

A dealer group operates several showrooms and warehouses across different cities.

A customer requests a specific vehicle model and color that is unavailable at the nearest showroom. The sales employee checks inventory across other locations and identifies the required vehicle at another branch.

The system supports inter-branch stock transfer and updates inventory visibility after the vehicle is reassigned.

Workshop Service Management

A customer books a routine maintenance appointment.

The service advisor reviews the vehicle’s service history, creates a job card, records customer concerns, and assigns the work to a technician.

Required spare parts are allocated from inventory, labor is recorded, and the customer receives updates about service progress. After completion, the system generates an invoice and updates the vehicle history.

Warranty Claim Processing

A vehicle develops a component issue during the warranty period.

The service center verifies warranty eligibility, records diagnostic information, adds supporting documents, identifies required parts and labor, and submits the claim for manufacturer approval.

The system tracks approval, rejection, reimbursement, and claim closure.

Spare Parts Replenishment

A dealership’s stock of a frequently used spare part falls below the configured reorder level.

Excellon identifies the shortage and supports procurement or transfer from another location. This helps the service center maintain parts availability and reduce repair delays.

Dealer Performance Monitoring

An automotive manufacturer uses Excellon to monitor sales, service, inventory, and customer activity across its dealer network.

Regional managers compare vehicle sales, lead conversion, workshop revenue, warranty claims, inventory aging, and customer satisfaction by dealership.

The information helps management identify high-performing locations and dealers requiring additional support.

Customer Retention Campaigns

A dealership identifies customers whose vehicles are due for maintenance.

Customer records are segmented based on service dates, vehicle models, locations, and ownership history. The business sends reminders and follow-up communication to encourage service bookings.

Field Service Management

A construction equipment customer reports a machine breakdown at a remote project site.

The service team creates a field service request, assigns a qualified technician, records required spare parts, tracks service activity, and updates the equipment service history after completion.
